Human Resources Coordinator

The HR Coordinator serves as the primary on-site human resources operator for Atlanta Neighborhood Charter School (ANCS). Under the functional direction and approval authority of the HR Director, this position independently manages day-to-day HR operations including payroll processing, TRS monthly reporting, CPI state reporting, benefits administration, background and fingerprinting management, recruitment support, onboarding and offboarding, employee attendance tracking, and personnel records management. This role operates within a defined structure of accountability, regular check-ins, and HR Director approval on key functions. The HR Coordinator is expected to be organized, thorough, detail-oriented, and committed to operating transparently within established processes and compliance standards.

Responsibilities 

Payroll Processing

  • Manages all regular, off-cycle, and supplemental payroll runs from preparation through submission for HR Director approval.
  • Clears time exceptions, enters deductions, and verifies pay data prior to each payroll cycle.
  • Creates and maintains payroll worksheets and supporting documentation.
  • Updates and reconciles supporting payroll spreadsheets, including benefits.
  • Processes garnishment orders and other payroll deductions in accordance with legal requirements.
  • Flags discrepancies and unresolved items to the HR Director before payroll deadlines. 

TRS Monthly Reporting

  • Manages the full TRS monthly reporting process, including member contribution verification, salary data entry, and record reconciliation.
  • Prepares completed TRS reports for HR Director review and approval prior to submission.
  • Tracks TRS deadlines, maintains reporting records, and resolves data discrepancies as needed. 

CPI State Reporting

  • Prepares and submits Certified Personnel Information (CPI) state reports in accordance with APS and Georgia Department of Education requirements and established deadlines.
  • Maintains accurate and current employee data to support CPI reporting compliance.

Benefits Administration

  • Manages new hire benefit enrollments, qualifying life event changes, and termination of coverage.
  • Coordinates the annual benefits open enrollment process, including employee communications and form collection.
  • Responds to routine employee benefit inquiries; escalates complex issues and carrier disputes to the HR Director.
  • Maintains accurate benefit records and tracks enrollment deadlines. 

Background Checks & Fingerprinting

  • Manages the background check and fingerprinting process for all new hires and applicable existing employees.
  • Initiates requests, tracks clearance status, and maintains records in accordance with IDEMIA processing requirements, FBI/GBI, and school policy.
  • Communicates clearance results to relevant parties and flags concerns to the HR Director.
  • Ensures all background and fingerprinting requirements are met prior to employees beginning work. 

Recruitment Support

  • Assists with the recruitment process, including posting positions, screening applicants, and coordinating interview logistics.
  • Communicates with candidates throughout the hiring process and ensures a positive candidate experience.
  • Prepares offer letter documentation and coordinates new hire onboarding initiation upon HR Director approval.
  • Maintains applicant tracking records and supports compliance with applicable hiring requirements. 

Onboarding & Offboarding

  • Coordinates the full onboarding process for new hires, including paperwork collection, system access setup, and orientation scheduling.
  • Prepares new hire packets and ensures all required documentation is completed and filed prior to the employee’s start date.
  • Manages offboarding procedures including exit documentation, system deactivation, benefits termination, and records retention.

Employee Attendance Tracking

  • Maintains and tracks employee attendance records schoolwide.
  • Prepares attendance reports and flags patterns or concerns to the HR Director and school leadership.
  • Coordinates with supervisors to ensure accurate and timely reporting of absences, tardiness, and leave usage.
  • Maintains leave balance records and ensures alignment with payroll data. 

Personnel & Records Management

  • Maintains and organizes all personnel files, ensuring completeness and compliance with applicable laws and school policy.
  • Tracks teaching certifications, licensure, and tenure documentation; proactively alerts the HR Director to expiring credentials.
  • Coordinates contract issuance, tracks execution, and maintains contract records for all employees.
  • Supports the employee evaluation tracking process, including collecting completed documents and maintaining timelines. 

General HR Administrative Support

  • Prepares HR correspondence, employment letters, and other HR documentation as directed.
  • Maintains HR filing systems (physical and digital) and ensures document retention compliance.
  • Provides general administrative support to the HR Director as needed.
  • Maintains strict confidentiality of all employee and organizational information.

Reports To

Human Resources Director; Director of Finance & Operations

Education & Experience

  • Associate’s degree or higher in Human Resources, Business Administration, or a related field preferred; relevant experience considered.
  • 3–5 years of HR experience, with at least a portion of that experience in a school, charter school, or nonprofit environment strongly preferred.
  • Experience with ADP or a similar payroll/HRIS platform strongly preferred.
  • Familiarity with TRS reporting, CPI state reporting, and Georgia charter school HR practices a plus.

The successful candidate will demonstrate:

  • Strong working knowledge of HR processes, payroll operations, and benefits administration.
  • High degree of accuracy and attention to detail across all HR functions; errors in payroll, TRS, or compliance reporting are not acceptable.
  • Strong organizational and time management skills; able to manage multiple recurring deadlines simultaneously.
  • Operates transparently within defined processes, approval workflows, and oversight structures; does not work in isolation or make unilateral decisions outside of assigned authority.
  • Proactively communicates status updates, discrepancies, and concerns to the HR Director in a timely manner.
  • Demonstrates accountability for assigned responsibilities and welcomes regular check-ins and structured oversight as part of professional practice.
  • Proficient in Google Workspace and Microsoft Office Suite.
  • Professional, discreet, and skilled at maintaining strict confidentiality of all employee and organizational information.
  • Effective communicator who can work respectfully and professionally across all levels of the school community.
  • Committed to compliance, ethical HR practice, and continuous improvement.

Compensation

$55,000 – $85,000 annually, commensurate with experience
